5 Things to Have Ready Before Your Tax Appointment

A little preparation before your tax appointment goes a long way. When you arrive with the right documents, your tax agent can work faster, spot every deduction you're entitled to, and get your return lodged without delays. Here's what to have ready.

1. Your Tax File Number (TFN)

Your TFN is the foundation of your tax return. If you don't have it memorised, find it on:

  • A previous tax return or ATO correspondence
  • Your myGov account
  • Your payslip or payment summary
  • If you've lost your TFN, you can retrieve it through myGov or by calling the ATO on 13 28 61.

    2. Income statements and payment summaries

Your employer is required to submit your income information to the ATO by 14 July each year. You can access your income statement through myGov, or your employer may provide a payment summary directly.

If you had multiple jobs during the year, make sure you have income information for each one. Don't forget:

  • Casual or part-time work
  • Freelance or contractor income
  • Government payments (Centrelink, JobSeeker, etc.)
  • Bank interest and dividends
  • 3. Receipts for work-related deductions

This is where most people leave money on the table. Common deductions include:

  • Home office expenses — if you worked from home, you may be able to claim a portion of electricity, internet, and equipment
  • Work uniforms and protective clothing — including laundry costs
  • Tools and equipment — purchased for work use
  • Professional development — courses, seminars, and subscriptions relevant to your job
  • Vehicle expenses — if you use your car for work (not commuting)
  • Union fees and professional memberships
  • The ATO requires receipts or records for most deductions over $300. If you're unsure what you can claim, your tax agent will guide you.

    4. Private health insurance details

If you have private hospital cover, bring your annual tax statement from your health insurer. This affects your Medicare Levy Surcharge calculation and may entitle you to a rebate.

If you don't have private health cover and your income is above the threshold ($93,000 for singles in 2025–26), you may be liable for the Medicare Levy Surcharge — your agent will factor this in.

    5. Bank account details for your refund

Make sure you have your BSB and account number ready so your refund can be deposited directly. The ATO processes most refunds within 2 business days of lodgement — having your bank details ready means no delays.

Bonus: Investment and rental property records

If you own shares, managed funds, or an investment property, bring:

  • Dividend statements and distribution statements
  • Rental income and expense records (property manager statements, loan interest, repairs, rates)
  • Capital gains records if you sold any assets during the year
